For me, Notion is more than just a tool—it’s my second home. I’ve built it from scratch, shaping it to fit my needs with a mix of structured databases, interconnected dashboards, and an evolving framework that keeps my work and life in sync.
I run 95% of my business in Notion, and about 80% of my personal projects live there too. But here’s the thing: I’m never truly “finished” with my setup. And that’s the beauty of Notion—it grows and evolves with me.
When I discovered Notion back in 2018, it was a total game-changer. I couldn't stop talking about it—I introduced it to friends, colleagues, and anyone who would listen. Fast forward to today, many of them still come to me for advice, grateful for that introduction years ago.
The Power of Customization
The flexibility of Notion allows me to constantly tweak, rebuild, and adapt my system. Here’s the structure I use to stay organized and focused:
1️⃣ Backend vs. Frontend – My backend is where all my databases live, while the frontend consists of dashboards, trackers, and filtered database views for easy navigation.
2️⃣ Clear Separation of Content – Business and personal matters each have their dedicated spaces. My high-level planning areas—like vision, values, and goals—also have distinct locations.
3️⃣ Interconnectivity – Despite these separations, everything is linked, ensuring a seamless flow of information across my workspace.
What My System Enables Me to Do
🧩 Centralize Information – Nearly all my resources, documents, and insights are stored in one place, eliminating scattered notes across multiple apps.
🧩 Optimize Operations – Automations and tool integrations save time, reducing manual work and making my workflows more efficient.
🧩 Stay Focused – I track action items, monitor progress, and prioritize tasks based on goal orientation, ensuring I work on what truly matters.
🧩 Curate a Fantasy Advisory Board – I collect and organize valuable insights from people I admire professionally, making them easily accessible later—sometimes even with the help of Notion AI.
🧩 Maintain Clarity – My workspace is designed with minimalism and aesthetics in mind, reducing cognitive overload and keeping my focus sharp.
The Framework Behind My System
A big inspiration for my setup comes from August Bradley’s Pillars, Pipelines, and Vaults approach. This framework emphasizes structuring information based on long-term goals and continuous optimization. The Pillars represent key life and business areas, the Pipelines define workflows and recurring processes, and the Vaults store knowledge and resources for easy retrieval. This method has helped me create a system that is both flexible and deeply aligned with my personal and professional priorities.
By adapting these principles to my needs, I ensure that everything in Notion has its place, remains connected, and ultimately supports my bigger picture. It’s not just about storing information - it’s about building a system that helps me take action, track progress, and continuously improve.
The Role of Notion AI
On top of it all, Notion AI has become an invaluable asset in my workflow. It helps me generate summaries, extract key insights, and surface connections between different pieces of information—often revealing patterns I wouldn’t have noticed on my own. Whether it’s refining ideas, restructuring notes, or generating content, Notion AI turns my knowledge base into an active thinking tool.
Beyond AI, Notion’s recent advancements in automations and integrations have taken things to another level. The webhook feature now allows seamless communication between Notion and other tools, making it easier than ever to create dynamic, automated workflows. I can trigger actions in Notion based on updates in other apps, sync external data sources, and reduce repetitive manual work. Combined with database automations, which streamline processes like status updates, content scheduling, and task handoffs, my workspace operates more efficiently than ever.
Thinking about it, I might love Notion a bit too much...
