For years, I thought productivity was all about getting as much done as possible. Long to-do lists, constant multitasking, and jam-packed schedules felt like the right approach. If I was busy, I must have been productive, right? Wrong.
I was constantly in motion but not necessarily making progress. It took me a while to realize that true productivity isn’t about doing more—it’s about doing what truly matters. That shift in perspective changed everything.
The Three Mindset Shifts That Transformed My Productivity
Once I let go of the idea that busyness equals effectiveness, I started exploring the core principles of real productivity. Three concepts, in particular, reshaped how I work and helped me create better systems—not just for myself, but also for my clients as a Notion consultant.
1. Focus: The Power of Attention Management
Focus is the ability to direct your attention and energy toward what truly matters while eliminating distractions. But in today’s world, that’s easier said than done. Notifications, endless meetings, and shifting priorities pull us in different directions.
The key? Intentional prioritization. Here’s what works for me:
- Define your priorities daily. Instead of tackling a long to-do list, identify the 1-3 key tasks that will move the needle.
- Use time-blocking. Schedule deep work sessions and protect them like important meetings.
- Eliminate distractions. Turn off notifications, set boundaries, and design an environment that supports focused work.
When you master focus, you stop reacting to everything and start working with intention.
2. Systems Thinking: Seeing the Bigger Picture
Before embracing systems thinking, I approached problems in isolation. If I struggled with staying organized, I’d try a new app. If my workflow felt inefficient, I’d tweak a small part of it. But these quick fixes rarely solved the real issue.
Systems thinking helped me see how everything is connected. Instead of addressing individual pain points, I started designing workflows that worked holistically. Here’s how:
- Identify patterns. Instead of firefighting daily inefficiencies, look for recurring bottlenecks and address their root causes.
- Create repeatable processes. Automate or document workflows to reduce decision fatigue and streamline work.
- Optimize, don’t overcomplicate. A system should make things easier, not add more complexity. Keep it simple and effective.
This approach has been invaluable in my work with high-performing professionals who feel overwhelmed. Once they see how their tools, habits, and workflows interact, they can make meaningful changes that last.
3. Productivity: Working Zmarter, Not Harder
True productivity isn’t about cramming more tasks into your day—it’s about achieving meaningful results efficiently. The goal is to maximize impact, not activity.
Here’s what makes the difference:

- Rest strategically. High performance isn’t about constant output. Breaks, reflection, and recovery are just as crucial for sustainable productivity.
Once you stop glorifying busyness and start optimizing for meaningful outcomes, work feels different. It becomes less about checking off boxes and more about making a real impact.
